Policies and Procedures for Recognized Student Organizations

Facility Rental and Usage

  • Recognized Student Organizations are allowed use of the Smittcamp Alumni House with no rental fee once per semester. Set-up, clean-up and staffing charges still apply. Recognized Student Organizations are allowed use of the Smittcamp Alumni House with no rental fee once per semester.   • Additional events will be charged the full rental fee of the room/facility.
  • Recognized Student Organizations may not reserve on behalf of off-campus organizations.
  • Recognized Student Organizations may not reserve on behalf of other student organizations.
  • Recognized Student Organizations are responsible for any damage to the facility.
  • Full balance of charges (set-up, clean-up and staffing charges) are due 2 weeks prior to the event date. Credit cards and checks payable to Fresno State are accepted

  

 

Facility Reservations

  • All reservations are made through the Smittcamp Alumni House Reservation Office.
  • Reservations are accepted no more than one year in advance.
  • To confirm your reservation, confirmations must be signed by the faculty/staff member requesting the reservation 4 weeks prior to the event.
  • Unsigned reservations are subject to cancellation.

Room Set-up Requirements

  • Tables and chairs for indoor events are provided at no cost (based on availability).
  • Outdoor events require an off-campus vendor for all set up.
  • Recognized Student Organizations are responsible to make arrangements with an off-campus vendor to coordinate rentals, set-up, clean-up, etc.
  • Rental drop off and pick up times must be pre-approved by the Smittcamp Alumni House Reservation Office 2 weeks prior to the event.
  • Final set-up (indoor or outdoor) is required 2 weeks prior to the event date.
  • Any changes made after the work order has been submitted, is subject to a $25 fee per change.
